The Art of Event Management

Event planning is not always easy! But here at Fun Planners we work hard to provide exceptional events, parties and effective team building activities. What does event management entail exactly? Well, event management is planning, organizing, budgeting, creating and executing an event for a client. But at Fun Planners it’s so much more than that! We provide entertainment services for all types of events of parties. We can create an impressive environment fit for any event; a meeting, a training seminar, a promotional event, a holiday party, a picnic, a fundraiser, team building event and more! We have a wide range of themes to match any event you have in mind! We work hard so that you don’t have to.

You may be wondering what goes on “behind the scenes.” You understand what event management is, but what does it take to be an exceptional event planner? An event planner must be well organized, disciplined, logical, a self-starter and prepared. These characteristics contribute to a successful and productive event, party or fundraiser. No two events will ever be the same. Every event will have its own unique elements so a “standard” can’t be set. However, here are a few tips that can help you better manage an event:

1. Have the Knowledge: A good event manager needs to first research what the client wants in detail to make sure that all bases are covered. The last thing you want is an unhappy client. There may be multiple people involved in the production of the event and each person may have their own preferences. Learn who is in charge and follow what that person wants.

2. Venue and supplies: Choose the appropriate venue for the event. The venue shouldn’t be too small to accommodate the guest list, but it shouldn’t be so big that there’s a lot of unnecessary room. Keep in mind the amount of entertainment that will be present and how much room they need (if vendors are hired) when choosing a venue. Also, keep in mind the amount of decorations that will be used and where they will be placed. If equipment that requires power will be used, make sure you have enough outlets or that you place the equipment closer to the outlets.

3. Plan: Have an agenda, plan, blueprint or schedule of how the event will run. It helps to divide and designate the responsibilities among team members. It makes it easier to coordinate and make sure things are operating smoothly. If you have a detailed plan that can easily be given to the client it also reassures that everyone is on the same page.
